In 2025, Microsoft 365 and Copilot evolved at an unprecedented pace – introducing thousands of changes across the tools Catholic Healthcare employees rely on every day. For one of Australia’s largest not-for-profit aged care providers, the challenge wasn’t access to technology, but keeping people confident, capable, and supported as that technology continually changed.

Catholic Healthcare supports a diverse workforce spanning residential aged care, community services, corporate teams, and frontline roles. With limited time, varying levels of digital confidence, and highly demanding workloads, employees needed more than occasional training or reactive updates. They needed a clear, trusted way to stay current – without feeling overwhelmed.

To meet this need, Catholic Healthcare partnered with Engage Squared to design and deliver Evergreen – a continuous enablement program built to keep skills, knowledge, and confidence “evergreen” as Microsoft 365 evolved. Rather than one-off sessions or ad-hoc communications, Evergreen introduced a predictable rhythm of learning, insight, and guidance that supported sustained adoption and long-term capability uplift.

Challenge

Throughout 2025, Microsoft released more than 2,400 updates across Microsoft 365 and Copilot, impacting everyday tools such as Teams, Outlook, OneDrive, SharePoint, Planner, and Copilot Chat. While these updates introduced powerful new capabilities, they also created significant noise for employees already focused on delivering care and essential services.

Catholic Healthcare needed an approach that could cut through constant change and help employees understand what actually mattered to them – and why. Evergreen needed to:

  • Cut through platform noise and frequent updates
  • Build confidence progressively, not through isolated training events
  • Support a workforce with varying levels of digital confidence
  • Translate technical product updates into practical, role-relevant guidance

The core challenge was not awareness alone, but enabling employees to continuously adapt – confidently applying new capabilities in ways that genuinely improved how they worked, without adding complexity or cognitive load.

Solution 

Engage Squared partnered closely with Catholic Healthcare to design and deliver Evergreen as a year-long, monthly enablement program.

A monthly Evergreen Update Report, summarising key Microsoft 365 and Copilot changes, enhancements, and new features in clear, accessible language

The Evergreen sessions prioritised practical application over features, showing employees how tools could support everyday tasks such as communication, information management, collaboration, and personal productivity. The Evergreen Update Reports acted as a trusted single source of truth, helping employees understand what had changed and why it mattered, without needing to track multiple Microsoft announcements.

Across 2025, the Evergreen program delivered:

Final thoughts 

Participant feedback highlighted the value of Evergreen’s practical demonstrations and the relevance of content to real work scenarios. The Evergreen Update Reports continue to be used as reference material by employees and internal champions, extending the impact of each session beyond the live delivery.

By embedding learning into a regular rhythm, Evergreen enabled Catholic Healthcare to move from one-off change activities to continuous capability building, ensuring their workforce remains confident and adaptable as Microsoft 365 and Copilot continue to evolve.
